Find Out Which Tasks to Automate and How Much You’ll Save
An n8n workflow that reviews every task on your team, decides whether it’s worth automating, suggests how to do it, and calculates the ROI and payback period. All on autopilot.
The problem: you automate by gut feeling, not by numbers
Everyone knows they “should automate,” but few companies know what to automate first. Teams spend hours automating tasks that barely repeat, while weekly reports, CRM lead imports and repetitive replies keep eating everyone’s time.
This workflow changes that: it turns your task list into a ranked list of automation opportunities, sorted by return on investment.
100% of tasks analyzed automatically
7 data points the AI returns for each task
0 manual spreadsheets to calculate ROI
How the workflow works
- Configuration
A Config node sets default values, such as the hourly rate (for example, $40) for tasks with no assignee. - Read from Airtablen
8n pulls the tasks from Airtable: name, project, assignee, duration, daily time required and the technologies used today. - AI analysis
A language model evaluates each task like an automation expert would and replies in a structured, validated JSON format. - ROI calculation
A code node calculates the implementation cost, annual savings, first-year ROI and payback period. The AI estimates; the code does the math. - Results back in Airtable
The results are saved to each record, ready to sort, filter and prioritize.
automate
True or false: is this task worth automating?
description
How to automate it: trigger, steps and expected result.
tools
Recommended tools to build the automation.
time_saved_hours
Hours saved each time the task runs.
executions_per_year
How many times a year the task is performed.
implementation_hours
Hours needed to build and test the automation.
monthly_tools_cost
Extra monthly cost for subscriptions, APIs or AI credits.
The formulas behind the ROI
To keep the numbers consistent and auditable, the AI only estimates the inputs. A code node does the calculations:
Implementation cost = implementation hours × hourly rate
Annual savings = hours saved × executions per year × hourly rate
First-year cost = implementation cost + (monthly tools cost × 12)
ROI (%) = (annual savings − first-year cost) ÷ first-year cost × 100
Payback (months) = implementation cost ÷ (monthly savings − monthly tools cost)
Example: automating a task takes 10 hours ($400 at $40/hour). It saves 4 hours a month ($160) and the tools cost $20 a month. You net $140 a month, so you recover the investment in 2.9 months. After that, it’s all profit.
Sample results
Here’s what the prioritization looks like once the workflow finishes (illustrative values):
| Task | Automate? | Tools | First-year ROI | Payback |
|---|---|---|---|---|
| Weekly performance report | Yes | n8n, Looker Studio, AI | 420% | 1.8 months |
| Import form leads into the CRM | Yes | n8n, Typeform, HubSpot | 650% | 0.9 months |
| Collect and analyze user feedback | Yes | n8n, Typeform, AI | 180% | 4.2 months |
| Design logo and brand identity | No | — | — | Never pays back |
Sort by payback months from lowest to highest and you have your roadmap: whatever is at the top is what you should automate first.

Do I need to know how to code to use this workflow?
No. Just import the workflow into n8n and connect your Airtable account and your AI model. The ROI calculation code is ready to go.
Can I use it with Google Sheets instead of Airtable?
Yes. Replace the Airtable nodes with Google Sheets nodes and map the same columns: task, assignee, duration, daily time required and technologies.
Which AI model should I use?
Any model that reliably follows a JSON format. Models like GPT-4o mini or Claude Sonnet work very well and are affordable for analyzing hundreds of tasks.
How accurate are the calculations?
The formulas are exact; the estimates of hours and frequency come from the AI. Use them as a starting point for prioritizing, and adjust them with your team’s knowledge.
What does “payback months” mean?
It’s how long an automation takes to pay for itself. Under 6 months is excellent; if it never pays back, that task probably isn’t worth automating.
